Posting Instructions
The Position Posting Request Form is the method of
communicating to Human Resources that your department has a vacancy that needs
to be filled.
The Position
Posting Request Form is located on the Human Resources website and can be
accessed from www.hra.iupui.edu by
clicking on “HR Toolbox.”
A Position Posting Request Form
must include an
Essential Job Functions Form (EJFF)

An essential function is one that, if removed, would change the
nature of the job. For
example, the position of Counselor includes the essential function of
counseling; however, even if Counselors are required to make copies of
files and forms, copying and filing are not essential functions.

This form is in compliance with regulations set forth by the
Americans with Disabilities Act (ADA). Therefore, it is imperative that the form includes the mental and
physical demands required to perform the tasks.
Completing the Position Posting Request Form:

The person completing and sending this form to HR should be
authorized to request this position be posted. Our receipt of the Position Posting Request Form
constitutes your department’s intention to fill the position and
attestation that funding is budgeted and available.

Provide the department name, contact name, contact email and
contact phone. The contact
person should be the person who will be responsible for the reviewing,
interviewing and hiring process.

Include the position number, FTE, title and rank as determined at
the time the position was classified.

Insert the
entire completed Essential Job Functions Form into the
appropriate section of the Position Posting Request Form.
To insert the EJFF, click inside the text box, click
INSERT on
the Menu Bar, click FILE, select the
EJFF file and click INSERT.
If
the corresponding Essential Job Function Form is not already saved as a
word document, complete the EJFF online and save as a word document.
It is recommended that departments name the document using the
following format; EJFF followed by the six-digit position number. An example would be EJFF 010abc.

In the Special Posting Instructions box include any special
knowledge, skills, and abilities you would like the person in this
position to have. Also, enter
any special requests or information, such as an employees only posting,
position located off site, one year grant funding, etc. Internal Posting Requests should include the manner in which
notification to all employees will be given.
The Position Posting Request form must be submitted
via email to your departmental Employment Consultant. You must follow your department approval process by
forwarding the form via email. The
authorized individual within the department should forward the approved form
to the Employment Consultant. If
you do not know your Consultant, please contact HRA at 274-7617 for
assistance.
