Service Maintenance Staff

3.1 Posting and Advertising a Position

Staff covered by this policy
This policy applies to all appointed SM staff represented by AFSCME, Local 1477.
Request to waive advertising

Requests to waive advertisement of a position must be approved by Human Resources Administration.

Timing of posting / advertising
Each week Human Resources Administration posts and/or advertises employment opportunities within the university. Normally, monthly positions are listed for two weeks; biweekly positions are listed for one week.

Methods of posting and advertising

How to advertise a position vacancy

  1. Ensure that Human Resources Administration has assigned a classification level. (See Policy 2.2, Position Classification.)
  2. Ensure that the Job Analysis Questionnaire and an Essential Job Functions Form have been completed. These must be on file with Human Resources Administration before advertising or posting the job internally or externally. (See Policy 2.1, Establishing a Position.) Provide an alternate format of the position announcement if an individual with a disability requests one.
  3. Posting and advertisement must be coordinated with Human Resources Administration before publication.

 

Posting within an occupational unit

If a department anticipates filling a vacancy by promoting or transferring an employee within the same occupational unit, it may post the position only within that occupational unit with the approval of Human Resources Administration. All qualified staff within the unit are to be given an opportunity to apply.

Posting in the Staff Job Openings list

Human Resources Administration is responsible for this activity. Positions will normally be posted to www.hra.iupui.edu by the end of the next business day. The deadline for requisitions to HRA is noon on Wednesday for posting in the weekly print copy of the Staff Job Openings list. This time line may be altered due to a holiday schedule. On these occasions the change is communicated in advance.

In addition to being posted in all university buildings, the Staff Job Openings list is also sent to recruitment sources within the community.

Advertising in newspapers

Human Resources Administration must approve placement of ads in all newspapers, journals and other professional publications before publication.

Departments pay for additional advertising of monthly positions and advertising for all biweekly positions.
